The below terms and conditions relate to all other training bookings made through Solihull Protect.

1. Determining your Training Needs

1.1 To ensure that you are selecting the correct training for your establishment’s needs, please review the audience information and course specification for each of the courses.

2. Selecting Delegates for Training

2.1 When selecting delegates to participate in training courses, please be aware that some of the courses can be physically and mentally demanding. Delegates must feel physically able to participate in the course.

2.2 If any delegate requires additional support measures to be put in place to attend and participate in the training, please contact us prior to booking to ensure that these can be accommodated.

3. Booking Delegates onto a Course / an Exclusive Course

3.1 Please complete the booking form on the Solihull Protect portal.

3.2 If you need more than 6 people to attend the same training course, please contact us to determine whether hosting an exclusive course may offer better value.

3.3 If there are no places available for the date you wish to attend or if you have an urgent training need, please contact us and we will do our best to support you. If we are unable to provide you with an immediate date, we will put you on a waiting list and you will be contacted as a priority when new dates are added.

4. Payment for Courses

4.1 A Purchase Order or Cost Centre will be requested at the time of booking. Please note, that for Core Council and Solihull Maintained schools, some courses may be provided without charge, however, we still require a Cost Centre to be provided.

4.2 For Core Council and Solihull Maintained schools – As part of our due diligence we reserve the right to determine whether a course is provided without charge or a charge is made based on a person’s employment status before we provide confirmation. Confirmation will always be provided in writing to the booking contact. Please note the information contained in sections 10.1 and 10.2 regarding cancelling a course booking.

4.3 When a cost centre is provided, please ensure authorisation has been granted by the budget holder prior to booking.

4.4 Invoices and charges will be processed within 10 working days after the course date.

4.5 All invoices must be paid within 30 days.  Failure to make payment will preclude any further bookings being permitted until accounts have been settled. 

5. Joining Instructions for Online, In Person or Virtual Courses 

5.1 For online course bookings, joining information will be provided within 5 working days of the course booking.

5.2 For all face to face (either in person or virtual) bookings, joining instructions and information will be sent via email to the delegate approximately 10 working days before the training is scheduled to take place. 

5.3 For virtual bookings, our housekeeping rules require all participants to have their cameras on to ensure active participation.

6. Information for Blended Courses where e-Learning Forms Part of the Syllabus 

6.1 Instructions of how to access the e-learning will be sent via email to the delegate approximately 10 working days before the training is scheduled to take place.  

6.2 The e-learning does not need to be completed in one sitting but must be completed in full before attendance at the face-to-face training.

6.3 Course leaders will check the learning and knowledge of delegates during the course to ensure they have met the learning requirements, which will include the e-learning content. 

7. Attendance at Face-to-Face Training 

7.1 Sessions will start promptly at the stated time. Please ensure that delegates arrive in time for the start of the course as late attendees may not be permitted to join. 

7.2 All housekeeping rules must be adhered to during the course. A failure to observe the rules will preclude any further bookings being permitted for the delegate(s) involved. 

7.3 Delegates must attend and complete all aspects of the course to qualify for certification. 

8. Transferring a Booked Place to Another Member of Staff 

8.1 Should you need to transfer a booked training place to another member of staff, please send details of the existing booking and the new booking through the ‘Course Cancellation Form’ tab on your dashboard via www.solihullprotect.co.uk as soon as possible and bookings will be reviewed on a case-by-case basis, we would ask for a minimum of 10 working days before the scheduled course date. You must ensure that the new delegate is able to complete any e-learning content prior to the face-to-face training where applicable.

8.2 For Core Council and Solihull Maintained Schools only – we reserve the right to determine whether the course is provided without charge or a charge is made based on a person’s employment status before we provide confirmation. Confirmation will always be provided in writing to the booking contact.

8.3 If the delegate booked onto the training course is not able to attend the training and you are unable to transfer their place to another member of staff, the clauses in Section 10 will apply.

8.4 If you need to amend the name of a delegate attending a course and have access to the portal, you will be able to change this up to 10 working days of the scheduled course date.

8.5 If you do not have access to the portal or if the change is needed less than 10 working days before the course date, please email the details of the course, the delegate who is not able to attend the training course and the details of the person attending in their place to healthandsafetysupport@solihull.gov.uk as soon as possible.

8.6 You may telephone the Health, Safety and Risk Service on 0121 704 6328 to notify us of changes to the booking, however these details must also be confirmed in writing as soon as possible. 

9. Exclusive Courses 

9.1 When hosting an exclusive course, please ensure that the room for the training is suitable for the training taking place.

9.2 Where exclusive courses take place in non SMBC corporate buildings, it will be the responsibility of the school / service arranging the training to ensure the venue has been suitably risk assessed with any appropriate actions taken to ensure the health and safety of delegates and the trainer(s). 

10. Cancelling a Place on a Face to Face or Virtual Course or an Exclusive Course 

10.1 Should you need to cancel your place on a course, or cancel an exclusive course, please send details of the cancellation through the ‘Course Cancellation Form’ tab on your dashboard via www.solihullprotect.co.uk a minimum of 10 working days before the scheduled course date.

10.2 All bookings will be chargeable if the above timescale is not adhered to. 

10.3 You may telephone the Health, Safety and Risk Service on 0121 704 6328 to notify us of cancellations, however these details must also be confirmed through the ‘Course Cancellation Form’ tab on your dashboard via www.solihullprotect.co.uk.

10.4 If we are notified before 10 working days of the scheduled course date, it is our policy to offer the delegate a place on another course but please be aware there may be a delay in the provision of training at busy times.

10.5 If you wish to cancel your purchase of an e-learning/virtual course, you will only be eligible for free cancellation if the course content has not been started. Please ensure you have chosen the correct course for you before the content is started.

11. If We Need to Cancel and Reschedule a Course 

11.1 In the event we need to cancel and reschedule a course, all bookings will remain valid, and you will be offered a priority place on another course or date at a mutually convenient time. 

11.2 If it is necessary to cancel and reschedule a course, we will endeavour to give as much notice as possible to all delegates. 

12. If We Need to Change the Training Venue 

12.1 Where it becomes necessary to change the venue of a course, we will give you as much notice as possible. 

12.2 If delegates are unable to attend the course at the new location, your booking will remain valid, and you will be offered a priority place on another course at a mutually convenient time.

Definitions

Core Council means all SMBC employees based in Adult Social Care, Children’s Services, Economy & Infrastructure, Public Health, Resources & Strategic Services Directorates. Solihull Maintained Schools are all schools in the borough who are community, community special, voluntary controlled and voluntary aided.
